Invoicing and quotes tool, built and run by Melta

For freelancers, small businesses and offices that want to write quotes and invoices the way their business works, without squeezing into a big accounting suite. You describe your workflow in plain language. Melta turns it into your own tool, puts it online and runs it.

What a product like this can do

An invoicing tool from Melta is not a builder with a thousand settings but a tool for your workflow, from the quote to the paid invoice. Which of these modules you need is settled in the concept.

Customer records

Company, contact person, address, payment terms, notes. Every document hangs on the customer, the history is there at a glance.

Quotes that become invoices

Line items, quantities, prices, discounts, VAT as a line. An accepted quote turns into an invoice with one click, nothing retyped.

Numbering

Sequential number ranges for quotes and invoices, the way you keep them today - with year, prefix or customer number if you want.

PDFs in your design

Every document is generated as a PDF with your logo, colours and details in the footer. The design you change later on the design page, without a rebuild.

Sending by email

Invoice and quote go straight from the tool with the PDF attached, under the name of your product. Replies land in the support inbox.

Payment status

Open, partly paid, paid, overdue: you record incoming payments, the tool shows what is still missing.

Payment reminders

Due invoices come first. A friendly reminder goes out at the press of a button or by your rules on its own, in stages, in your wording.

Recurring invoices

Maintenance contracts, retainers, monthly flat fees: set up once, the tool creates the invoice at the chosen interval and lays it out for you to send.

Open amounts at a glance

What is outstanding, what is overdue, what was invoiced this month - a simple overview instead of a spreadsheet you maintain by hand.

How Melta builds it

  1. Describe - You tell in your own words how you write quotes and invoices today: which details they need, how you number them, when you remind. Melta asks up to four non-technical questions.
  2. Read the concept - From that comes a concept in plain language. You change it by chat until it fits.
  3. Have it built - When you approve, the build starts, paid from the credits of your plan. Melta builds the whole product - interface, logic, accounts, database, email, legal pages - typically within 24 hours, with an email when it is done.
  4. Test in the preview - The private preview comes with demo customers, sample invoices and named test logins. Write a quote, turn it into an invoice, send the PDF to yourself, check the reminder.
  5. Go live - Going live takes seconds, no rebuild. Before that Melta checks that your operator details for the legal pages are complete. You choose which preview data to carry over; rollback to the previous live version is possible.
  6. Change by chat - "Add a field for the customer's order number" or "Make the second reminder stage clearer": you watch the editor work, can step in, the preview updates live, and you decide when it goes live. Change runs are included in every plan.

What comes with it

Around the tool, Melta runs what would otherwise be contract work: hosting on a melta.ai subdomain or your own domain (from Growth), accounts with registration, password reset and roles, email under the name of your product with PDF attachments, the support inbox that sorts your customers' replies automatically, the legal pages (imprint, privacy policy and terms) generated from your operator details for Switzerland, Germany and Austria (general information, not legal advice), cookieless analytics, error monitoring and spam protection on logins and forms. If you offer the tool to other businesses as a subscription, payment processing is built in: your customers pay inside the product, you enter your bank account in Melta, the payouts go there.

An invoicing tool is not yet among the example products. The closest is ÜbergabeFix, an example product with a similar core: guided apartment handovers that end in a PDF report sent by email.

What it costs

A concept uses only a few credits; afterwards your product runs on a plan per organisation with credits every month. All numbers and how the price is made up are on the pricing page.

Common questions

Is the tool only for my own business, or can I offer it to others?

Both. Used alone, you pay the build and the plan, and no share is due. Offered to other businesses as a subscription, payment processing is built in: your customers pay inside the product, the payouts go to your bank account, and your plan's share is deducted from each payment.

Does the tool really send my invoices by email?

Yes. Quotes and invoices go out straight from the tool with the PDF attached, under the name of your product or your own domain. If a customer replies, the reply lands in your product's support inbox.

Can I change the layout and the numbering later?

Colours, fonts and the logo you change on the design page without a rebuild. New fields, a different numbering scheme or an extra reminder stage are a chat message to the editor. The change appears in the preview first; you put it live when it is right.

Does the tool do my bookkeeping or my tax return?

No. The tool creates, sends and tracks quotes and invoices and shows you open amounts. Bookkeeping and taxes stay with you and your accountant; Melta gives no tax or legal advice.

Describe how you write invoices. Melta builds the tool for it.

A concept uses only a few credits. Your invoicing tool is built, put online and run as soon as you approve it - with email sending, PDFs and legal pages.
